Device Location Permissions

When the WorkMax app is installed, it requests permission to access the device's GPS location. Users can choose "Allow Only While Using the App" (the most common selection). This permission allows the app to access device features, such as location services, only when the app is open and actively running, either in the foreground or background. This option is available on both iOS and Android devices.

Users may also select "Always" for location access. However, WorkMax treats this permission the same as "Allow Only While Using the App."

If the WorkMax app is open—whether in the foreground or background—it has the capability to obtain the device's GPS coordinates. However, the device only actively requests updated GPS coordinates when the app is running in the foreground.

When the app is launched or brought to the foreground, WorkMax performs a GPS "warm-up" by requesting the device's current location. This helps improve location accuracy so that, when an employee clocks in or out, the most accurate coordinates possible are available.

GPS coordinates are captured and attached to a record only when:

  • An employee clocks IN or OUT.
  • A form configured to capture GPS data is submitted.

At the time of the clock-in, clock-out, or form submission, WorkMax records the GPS coordinates provided by the device and associates them with that record.

While the app may request GPS data during the warm-up process to improve location accuracy, no GPS information is stored or saved at that time. GPS data is recorded only when an employee performs an action that requires it, such as creating a time entry or submitting a form.
