Permissions and the mobile app

When you get to the point of setting up your mobile device, it will be important to understand what data will sync to it.  Data syncing to a mobile device will be based on what permissions are assigned to it in the Control Center.  If you need to understand permissions further please see the articles on setting up permissions here Module Settings.

If you are a company that has opted not to set up any permissions, all active employees, locations, tasks, and forms will sync to every mobile device upon activation. This is due to the fact that the system permissions are set up by default as “Full Access”.  Please note, if you have a large data set, “Full Access” can sometimes cause syncing times to be longer and mobile device performance may suffer.

If you have permissions set up and have applied them to your employees, the following will describe what data will show up on your mobile devices.


If we assign the electrical permission above to an employee and check the appropriate device in the permission list, the following data will be synced to that device:

If we assign the Costco permission above to an employee and check the appropriate device in the permission list, the following data will be synced to that device:

You will also see on both permissions that the only device checked is “David’s iPad Air 2”.  That indicates that these permissions will be able to sync to the device labeled “David’s iPad Air 2” and only “David’s iPad Air 2”.  Please note, permissions will not sync to any device unless it is assigned to an employee.


Let’s dig in a little deeper now.  Let’s say that the following permissions are assigned as follows and they are synced to “David’s iPad Air 2”.


John Smith – Electrician

Pete Jones – Costco


When John Smith logs into “David’s iPad Air 2” he will see the following data:

Important Information

If you are a WorkMax System Administrator, you will also be able to log into “David’s iPad Air 2”.  The information available to the WorkMax System Administrator will be the aggregate of the data from the synced permissions.  

A WorkMax System Administrator will see the following data when logging into “David’s iPad Air2”.
