Individual Employee Timesheet Workflow

After opening the WORKMAX app on your device, perform the following steps to Enter Time.

1. Enter in your PIN number.



2. Select the TIME SHEET option from the HOME screen.



3. On the NEW SHEET screen you can  (See screenshot below):
  1. Select from a previously saved Time Sheet
  2. Name the New Time Sheet.
  3. Select the Location where work was completed.
  4. Select the Start Date for when work was completed.
  5. Select how many days, going forward from the Start Date, that time will be entered for.
  6. Review and, if needed, select the Default Start Time.  In most cases this field will not need to be changed from the default of 8:00 AM.
  7. Select the number of hours per day as selected in option E.
  8. Select the Task.
  9. and J. Up to three optional Custom Lists may appear here, if utilized in your company workflow.


4. Once NEW SHEET data is entered, Click the CREATE button at the top right.

5. The TIME SHEET screen will open where you can scroll from Left to Right to review the data entered (See below screenshot). By clicking on the applicable column and row, you can change:

      A. Location
      B. Start Time
      C. Task
      D. Units (If applicable)
      E. Custom List (if applicable)
      F. Custom List (if applicable) 



6. To Allocate Time for the day or to add Notes, select the Down Arrow button (Option "H" in the above screenshot) for the desired day.

7. This will open the Allocate Time Screen.  Before beginning the Allocation process, you can change the overall Start Time as indicated by the Red arrow at the top of the screen in the below screenshot.

8. Make any changes to the existing record as indicated by the green arrows in the below screenshot.

Note: Before allocating additional time the hours in the initial record must be less than the Total Hours available.



9. After Changing the hours in the first record to less than the Total Hours, Click the Add button at the bottom of the screen as indicated by the purple arrow in the above screenshot.




10.  In the above screenshot the original hours were changed from 8 to 3.  After clicking the Add button a new record was created above the original record.  Note that the entered data on the new record is the same as the original record with the exception that the hours reflect the remaining hours available.  Make necessary changes to the new record.

11.  If you wish to create a third record, change the Hours in the first or second record so that Hours are available and then click the Add button at the bottom of the screen.  Repeat these steps as needed.  

12.  When Allocation is complete, select the Save option at the top right of the screen.  This will return you to the TIME SHEET screen.



13.  After Allocation the TIME SHEET screen will display up to three color coded messages (blue, orange and red) that coincide with the Allocations that have been done:
  1. On the days that were allocated, a blue number in parenthesis is displayed in the Task row. This indicates how many additional allocated records were added to the day.
  2. On the Employee line, under the "Wed Jul 03" column, an orange down arrow is displayed on the Allocate button.  This indicates that time has been allocated for this employee on this day. It also displays in orange that 0.00 hours remain to be allocated.
  3. On the Employee line, under the "Wed Jul 04" column, a red down arrow is displayed on the Allocate button.  This indicates that based on the total time entered for that day, there is still time that needs to be allocated.  It also displays how much unallocated time is remaining.
14. Once all reviews, allocations, and/or edits have been completed you can sign off on the records and then click the SAVE TIME SHEET button to Save and Exit the TIME SHEET screen.
