Asset Inventory is a list of all the assets/tools
a company possesses. This includes equipment owned as well as equipment leased
or rented.
1. In the Control Center, go to Asset >
Inventory.
2. In the Asset window, all available assets are
displayed. Select the asset you want to view.
There are two ways to add an asset to your WorkMax
system: through integration from your account software and in
the WorkMax Control Center. This guide outlines how to add assets in the
WorkMax Control Center.
In the Asset window, select the [+ New] Button to open the “Info” tab.
On the “Info” tab of the new asset, the following fields are available:
- Name – Name of the asset. (Required)
- Description – A description of the asset.
- [Choose File] – Select an image file to insert.
- Status – Current status of the asset. (Required)
- Condition – The condition of the asset.
- Code – A code to identify the asset.
- Parent Asset – Designates
the new asset as a child asset of a different asset, thereby establishing a parent/child
asset relationship.
- Division – Assign the asset to a division.
- Department – Select which department is
to be tied to this asset.
- Bar Code – A barcode to scan the asset.
- External ID – This pulls over from the
integration of your Accounting Software.
- Hourly Rate – How much the asset costs
per hour.
- Daily Rate – How much the asset costs per
day.
- Weekly Rate – How much the asset costs
per week.
- Monthly Rate – How much the asset costs
per month.
- Manufacturer – The manufacturer of the
asset.
- Model – The model number of the asset.
- Serial Number – The serial number of the asset.
- Year – The year the asset was made.
- Purchase Price – Price of the asset.
- Purchased Date – Date the asset was
purchased.
- Warranty Expiration Date – Date the
asset’s warranty expires.
- Last Service Date – Last date that the asset
was serviced.
- Reading – The reading when it was last
serviced.
- Next Service Date – When the next date of
service date is.
- Reading – The reading when it needs to be
serviced.
- Current Mileage/Hours – Mileage of the
asset. Each time mileage/hours are updated the history also updates. WorkMax
provides the last three entries, who entered them, and the date/time.
- Rental Vendor – From whom you rent the asset.
- Note: When this is selected, Purchase Price, Purchase
Date, and Warranty Expiration Date are no longer shown. At
least one vendor must be set up to use the rented option.
- Return Date – The date the asset is
returned.
- Assigned Employee – The employee
assigned to this asset. You can assign or reassign from inventory.
- Assigned Location – The location
assigned to this asset. You can assign or reassign from inventory.
To edit an asset, select the Edit icon in the upper-right corner of the
window.
Assigning/Removing Employees and Locations
1. To assign an existing asset to an employee or a
location, select the Edit icon in the upper-right corner of the window.
2. Select from the lists available in the Assigned
Employee and Assigned Location fields.
3. Select
[Save].
4. To remove assignments from an existing asset, select
the X icon to the right of the assigned employee or location.
5. Select
[Save].
Adding Current Mileage/Hours
1. To add the current mileage for your asset, select
the Edit icon in the upper-right corner of the window.
2. Select the Current Mileage/Hours field
and enter the current mileage of your asset.
Note: Employees can add mileage to an asset by adding the current
mileage to the Reading field on Asset Usage Sheets. See the article “Creating
an Asset Usage Sheet in the Mobile App” for more information.
3. Select
[Save].
Inventory Notes
1. To add notes to a specific asset, go to
the “Inventory Notes” tab and select [+ New].
2. Once
finished, select the Done icon to save the note.
1. To delete an asset, select the Edit icon in the
upper-right corner of the window.
2. At the bottom of the window, select [Delete].
